Abstract Submission Guidelines
All abstracts must be submitted through the official submission portal before the deadline. Each submission is reviewed for quality, relevance, and originality.
- Word limit: 250–300 words (excluding title, authors, and affiliations).
- Language: Abstracts should be written in clear scientific English.
- Submission limit: A maximum of two abstracts per presenting author is allowed.
- Revisions: Abstracts can be edited until the submission deadline. No changes will be accepted after the portal closes.
Speaker Guidelines
Speakers are expected to follow the session schedule, maintain a professional approach, and complete all technical preparations in advance. All submissions are reviewed to ensure high-quality and timely presentations.
- Check-in: Please report to the speaker-ready desk at least 90 minutes before your session begins.
- Slide submission & backup: Share your presentation slides with the program manager at least one month before the conference, upload the final version by the morning of your presentation, and keep a backup on both a USB drive and cloud storage.
- Format: Submit your presentation in PPT format. Make sure all visuals are clear, readable, and easy to understand.
- Slide structure: Start with a title slide including your presentation title, name, and affiliation. Follow this with a short introduction. Use bullet points and visuals to keep your content simple and relevant.
- Session flow: Follow the session chair’s instructions for timing, Q&A, and transitions. Please stick to your allocated time.
- Program updates: Minor schedule changes may occur, so please be present in the meeting room from the beginning of your session day.
- Professional conduct: Maintain professionalism throughout your session. Participate actively in discussions and Q&A.
- Networking: Take advantage of networking opportunities after your session to connect with other participants.
- Support: For any assistance, feel free to contact the speaker coordinator.
Poster Presentation Guidelines
Poster sessions are meant for direct interaction and scientific discussion. Presenters should ensure their posters are clear, visually appealing, and easy to follow.
- Orientation: Posters should be in portrait format unless stated otherwise.
- Layout: Organize your poster in this order: Title, Authors, Affiliations, Objectives, Methods, Results, and Conclusion.
- Font size: Use 36–48 pt for headings and at least 24 pt for body text. Choose simple fonts like Arial or Helvetica for better readability.
- Colour & spacing: Use contrasting colours and maintain enough spacing between sections to improve clarity.
- Visuals: Include high-quality images, clear charts, and relevant graphics. Keep everything aligned and well-structured.
- Printing: On-site printing is not available. Please arrange printing in advance.
- Attendance: At least one author must be present during the full poster session to interact with attendees.
- Poster collection: Posters should be collected at the end of the session. Unclaimed posters will be discarded.
Participant Guidelines
We encourage all participants to contribute to a respectful, inclusive, and engaging conference environment.
- Registration: Please complete your registration online in advance. On-site registration will be available, but early registration is recommended.
- Conference badge: Wear your badge at all times within the venue for security and networking purposes.
- Participation: Engage in sessions by asking questions and joining discussions. Respect speakers and allow others the opportunity to contribute.
- Inclusivity: We are committed to a diverse and inclusive environment. Harassment or discrimination of any kind will not be tolerated.
- Networking: Use breaks and networking sessions to connect with speakers and fellow attendees.
- Emergency procedures: Follow the instructions of venue staff in case of an emergency and take note of exits upon arrival.
Registration Policies
Registration provides access based on your selected category and is subject to conference policies. Please review the details below before registering.
- Early bird: Discounted rates are available until the specified deadline.
- Group discount: Special pricing is available for groups of three or more registering together.
- Student & reduced rates: Discounts are offered for students and eligible participants. Valid proof is required.
- Payment methods: Payments can be made via credit/debit card or bank transfer. Registration is confirmed only after full payment is received.
- Confirmation: A confirmation email and receipt will be sent after successful payment (check spam if not received within 48 hours).
- Transfers: Registrations can be transferred to a colleague or deferred to a future event, subject to policy terms.
- Cancellation & Refunds: A full refund, minus a processing fee, will be issued for cancellations made 90 days before the conference begins. Registrations or accommodations cancelled within 90 days of the conference start date are non-refundable; however, they may be transferred to a colleague/friend or to an upcoming event.
- Accommodation: Travel and accommodation are not included and must be arranged separately.
- Invitation letters: Issued only after full registration and payment are completed.
Important Notes
Certificates
Participation and presentation certificates are issued after session completion and attendance validation.
Proceedings Publication
Selected accepted abstracts may be included in conference proceedings and indexed publication outputs.
